On each record on the system you will see an activity log. We outline the main ones below and what is shown on them. These activity logs are designed to help you with compliance so you can clearly evidence who has done what on each job and when so you can provide better customer service or show better evidence of compliance processes in audits.

The activity log records can’t be edited by any user type so actions taken will display on the record.

Logs will display the most recent items with the option to load more logs if needed depending on how much information has been processed on the job.

Quote / Job record

The quote / job record will show a list of changes such as:

  • Manual quote created and who by
  • Terms sent and who by
  • Terms update (who’s viewed a document, signed it etc)
  • Terms status (including a manual change) – from what to what and who by. It will include the terms link agreed to if accepted by the customer for non-e-terms jobs
  • Job assigned – who to and who by
  • Job stage update – what to and who by (unless automated)
  • Job archived – who by
  • Job cancelled – who by
  • Lead source changed – from what to what and who by
  • Customer email changed – new address, the old address and who changed it
  • Customer name changed – original name, new name and who changed it

Referral partner record

The referral partner record will show a list of changes such as:

  • Change in introducer owner (account manager) – from who to who and who changed it
  • Change in status (prospect, live etc) – from what to what
  • Reassigning to a different hierarchy (referral partner plus plans) – which record it was assigned to before.
  • Terms status (sent, viewed, signed)
  • Change in email address – old address and new address
  • Change in introducer name/group or branch name – old name and new name
  • Change in introduced by field – original value and new value
  • New task – who added
  • New note – who added
  • Automated emails sent out (job and engagement emails)

 

Referral partner settings

  • A list appears at the bottom of each settings page to show who made changes and on what date and time. It doesn’t list the changes made due to the number of settings on the page but will allow you to see who has saved updates.

Contact record

The contact record (end-customers) will show a list of changes such as:

  • Change in customer name – original name and new name and who by
  • Change in email address – original email and new email and who by
  • Activity log updates related to associated to assigned quote/job records (see quote/job logs above)
