Adding quotes to Survey Booker
There are two types of quotes you can add to Survey Booker.
- Survey quotes
- Project quotes
Add an instant survey quote
To add a survey quote, go to your quotes table and click the ‘Add quote’ button. A pop up will appear and ask you which type of quote you would like to add. Click on ‘Add survey quote’. This will load your quote form with the different surveys you offer.
Customer already exists? You can go to your Contacts table > open the contact record > press “Add quote”. When filling in the form, the customer’s details will be prefilled for you.
Fill in the form and the quote will be added to your account.
Note: you can also add a quote when viewing an individual contact, property or company. When adding a survey quote from the contact page, the customer details part of the quote form will load pre-filled with the customers information so you don’t need to add it in.
To view the customer flow after the quote is added, click here.
Add a manual survey quote
Click ‘Add quote’ then ‘Add manual survey quote’. This will take you to a manual timeline page where you can create a quote manually. Using this route you don’t need to enter a customer email address and no welcome email is sent out.
Customer already exists? You can go to your Contacts table > open the contact record > press “Add quote”. When filling in the form, the customer’s details will be prefilled for you.
How does this differ to adding quotes via your quote form?
- Email address not required to create quote
- Quote entered manually (e.g. if instant quote is not appropriate)
- Welcome email is not sent
- Show / hide quote from the customer timeline
From your tables (quote, contact, property or contact), click on the add quote button. A pop-up will appear and you can select the ‘Add manual survey quote’ option.
A blank timeline page will load and you can fill in all the relevant details.
If the property or contact is already listed on your account you can select them using the dropdown filters at the top of the page. Use the search filter and press the tick box next to the relevant contact(s) or property. Once added under the dropdown, press the circle next to the contact or property to confirm it is the primary address or customer and this will add the information into the relevant fields on the page.
You can then add in the remaining details.
You can select if a quote should be visible to a customer or not. If unticked, the quote will not be visible in the customer’s account.
Press save.
Publishing a quote
Once the quote is saved, it will appear in your quotes table with the button showing “Draft”.
When you are happy with the quote you can press the ‘Publish survey quote’ button and this will remove the draft status and allow the quote to be visible in the customer account IF you’ve ticked it is allowed to be. Whilst the quote remains unpublished, it’s not visible to the customer even if you’ve ticked that it can be.
Adding project quotes:
For longer term projects and services that don’t fit the survey flow, you can add in project quotes. As above, click the ‘Add quote’ button and then select the ‘Add project quote’ from the pop up.
This will load the project quote page below.
Here you can:
- Enter the service/project name
- Assign it to a property / contact / company
- Enter your quoted fee
- Set payments will be set out:
- Single payment
- Multiple monthly payments
- Multiple annual payments
- Milestone payments
- Set the deal stage
- Set the deal type (new or existing business)
- Service type*
- Project stage*
- Assign team members working on the quote/job
You can also choose to share the quote with your customer when you are ready by checking the tick box at the top right hand corner of the screen (Make quote visible to assigned contacts). Your customers can choose to accept the quote and make any payments that have been requested.
*You can set your own service types and project stages for reporting and monitoring purposes under the Settings menu then Project settings.
