Setting up the draft stage in your report submission flow

You may want to add a draft report step between preparing the report and marking the job as complete. For example, you want your surveyors to submit a report that can be quality assessed internally before it is sent on to the customer. Or if you are offering the home report stage, it may be that you want customers to review the report and approve or submit comments before it is marked as completed.

Select service settings

Navigate to Settings > Survey settings > Select services.

CLick the pencil icon to edit the job you want to turn on the draft report step for.

If your plan allows it, you’ll see a tick box to turn on the draft report stage. This is activated by job type.

Tick the checkbox and press the save button for that section.

 

Notifications: you can choose if an email/SMS is sent to the customer when the job reaches the draft report stage to update them on progress under your email template settings.

How it works

After preparing the report, you can upload it to the job record. You’ll be asked to mark the job as draft submitted and then to set a review date by which you want to have the job completed.

After submitting this the job will move to Draft report / In review.

You can then mark the job as complete when you are ready.

 

Single survey reports

The job can be moved to completed by you by pressing the “mark as complete” button. Alternatively, you can upload a new document and then mark the job as complete.

 

Multi-document reports

Depending on your settings, customers may be able to view and approve the report in their accounts. If so, the job will be moved to the completed status after the customer approves the documents. If you’ve set that the customer can’t approve a document, the job is moved to complete by you.
